- Storing uploads: a file uploaded twice is recognised by its fingerprint and skipped. Rows already stored are never added again, even from overlapping reports (orders by order ID + item; payment by the full row; physical returns by order ID + tracking; system returns by order ID + tracking; replacements by replacement order ID). For orders and system returns the newest status wins.
- Final orders: order-status and item-status both Shipped, each order ID once.
- Payment: sum of the total column of every stored payment row for the order ID.
- Returned: order ID is in a physical return upload, or in a system return report with Return Status = Returned to Seller. One list, order ID only.
- Reimbursed: a payment row of type Reimbursements or SAFE-T Reimbursement for the order ID. Counts as settled, like a return.
- Normal order: payment negative, not returned and not reimbursed → claim.
- Replacement pair (original order + replacement order), judged together on the original order row, or on the replacement order row when the original is not in the database:
- Original order payment positive → the original or the replacement must be returned, otherwise claim the original order.
- Original order payment negative → both must be returned; claim whichever is missing.
- Original order not in the payment data → no refund posted, treated as positive.
- The replacement order alone is always negative (fee only) and is never a claim by itself.
- Settlement rule (applied last): payment description contains Reimbursement issued for lost or damaged package → Settled (Auto Claimed by Amazon); contains SAFE-T Claim ID: → Settled (Manually Claimed by Seller). That order ID never appears in the claim list.
- Claim window: opens base date + 50 days, closes base date + 75 days. Base date is the refund date for normal orders and the replacement shipped date for pairs.
